Collections Management Activity Report
July/August 2007

Budget and finance
Gwen consulted with Acquisitions to set target dates for book orders for this year, and communicated these to liaison librarians.
Christine edited the format of the year-end report on vendor activity to make it more useful.
Access and Resources
1585 new e-journal records were added or modified in the CJDB and1114 records were deleted.
Don Taylor worked on updating MARC records for the Taylor and Francis journals.
Don reviewed and negotiated licenses with the following vendors: Thomson Financial, OptionMetrics, Bloomberg, CRSP, Ontario Geospatial Data, NY Stock Exchange Market Data (TAQ), and continued to negotiate with EBS regarding Foreign Exchange Data license.
Don and Christine updated numerous lists in CUFTS and identified changes in title list formats that required Todd Holbrook to make changes to the appropriate CUFTS module title list uploading utility. Further ongoing maintenance of CUFTS lists continued according to schedule.
Book titles involved in the upcoming SFU Author’s Event were identified and ordered, if not already in the collection. Christine assisted in entering orders for books needed at SFU Kamloops into Coutts OASIS. Christine and Gwen also continued to work on preparation of lists of serials for possible migration or cancellation, in preparation for serial agent’s deadline for the fall renewal invoice.
Megan and Gwen coordinated SFU’s votes for the CRKN resource ranking for the Digital Content Infrastructure initiative. Several of the new datasets that received designated funding this year were brought online, including Thomson Financial data and TAQ data in WRDS.
Meetings with Vendors
Megan and Gwen prepared and delivered a training session for liaison librarians on the WorldCat Collection Analysis tool.
Gwen and Don met with representative from Eastview Information Services.
Gwen met with EBSCO representative.
Course Assessments & External Reviews
Course assessments were completed for the following:
- EASC 610
- Centre for Applied Research in Mental Health & Addiction (CARMHA)
- Centre for the Study of Educational Leadership and Policy
- Centre for Physical Disabilities Education an Research (CPDER)
New Journal Price Queries, Orders, and Cancellations
Christine responded to 5 pricing requests from liaison librarians, and sent the following to Acquisitions:
- 21 new journal and database orders
- 2 orders for journal backfiles
- 4 cancellations and 3 cessations were reported/sent to Serials, and had records updated
E-books
Don continued his e-book co-ordination activities, including troubleshooting access problems and establishing procedures with Acquisitions and Cataloguing as needed. Specific activities:
- Followed up with Coutts on some problem records.
- Joined Springer’s ad-hoc committee on MARC records, in response to an invitation following detailed feedback he and Penny Swanson had provided about problems with records this year.
Scholarly Communication
Gwen initiated planning for a December workshop for UVic, UBC, and SFU librarians, to follow up on June workshops. Gwen also met with Trish to begin work on an update to the scholarly communication plan. A draft will be discussed with liaison librarians in the fall to include their input into the plan before it goes to Library Council.
Other
Megan: attended Reference Division meeting; attended WebCT demo; attended meetings of the Library Promotions Committee; met with Health faculty member to arrange in-class instruction; served on the Cataloguing Librarian selection committee in August; organized handouts and library presence at Health grad student orientation; ordered over 200 books for Health and Statistics; had Blackwell’s run an approval return report for the past year, then reviewed report, and will make suggestions for profile refinements to liaison librarians in September.
Don: continued work on ERMS development, and began populating some sample records in the ERM; was appointed Treasurer of SFUFA; attended the PKP conference in July; continued work on thesis citation analysis research; presented at Health grad student orientation in Megan’s place.
Christine: attended the July 11th CLA Pre-conference to the PKP Conference, and volunteered at the PKP Conference and attended some sessions; attended the August 1st Brown Bag on the American Library Association Conference that Heather DeForest and Sandra Wong presented; attended the August 8th presentation by Megan and Gwen to have a look at OCLC’s collection analysis tool; received training from Catherine Louie on automatic updating of TOC in formatted Word documents—then was able to make needed changes to the CUFTS Title List Guide; attended the Brown Bag with Richard Dearden from University of Tasmania/Queensland University of Technology Libraries; attended the August 23rd Farewell Tea for Marianne Reid; attended the August 29th screening of Cultural Crossings: a film about international students and the professionals who work with them, and enjoyed her first visit to the media screening room.
Gwen: continued service and space planning workshops with Loans staff; attended the PKP conference; met with Chris Ball, Interim AUL Collections from UBC; met with Carole and Scott to discuss Media Preservation plan; met one-on-one with various liaison librarians for collections updates in their areas; attended Ottawa meeting of the CRKN Negotiations Resource Team; presented at the new faculty orientation with Lynn, Trish and Elaine.
All: attended regular Collections meetings to hear committee reports and library-wide developments affecting our work.
Priorities for September
- Finalize list of serial cancellations and migrations to send to agent before fall renewal deadline
- Prepare draft update to scholarly communication plan
