Collections Management Activity Report - April/May 2008

Budget and Finance
Closed the books on 2007/08 fiscal year in III. Budget fully expended save a planned carryover to offset cuts in 2008/09. Thanks to liaison librarians for meeting selection deadlines, and to Acquisitions staff for a very smooth year end process this year.
Ran reports on fiscal year 2007/08. Reviewed and reconciled year end serials costs lists in preparation for posting to web site
Access and Resources
1557 new e-journal records were added or modified in the CJDB
465 e-journal records deleted
Databases investigated /trials set up: Best Case, Criminal Source, Criminal Spectrum, Palgrave Dictionary of Economics online, Statesman’s Yearbook online, Policy File, Canadian Historical Review Archive.
New resources: Irish women poets of the Romantic Period, Best Case, Criminal Spectrum.
Don upgraded records for JSTOR and LWW in CUFTS, and dealt with many CUFTS related problems/questions, including title list problems brought to my attention by Heather Morrison of ELN, Kevin Stranack and member libraries. Don continued to work with Frances Dodd and Todd Holbrook on ERM implementation. During this period an interim ordering procedure was put into place, and Christine was oriented to the ERM. Christina Nilsen, a SLAIS co-op student, is entering license data. Don created a number of ERM records, and worked with Nina Saklikar to establish a workflow for the creation of new records and the population of new records. Don worked with serials staff to answer any questions they may have while they are moving online journal order records to the e-journal bib record.
Don compiled and analyzed 2007 database usage statistics and then distributed them to liaison librarians, and began work on collating and analyzing 2007 e-journal statistics.
Meetings with Vendors
- Gwen, Sandra Wong, and Greg Tourino met with visiting Elsevier executive, and account rep
- Gwen met with vendors at CLA: Cambridge University Press, Blackwell’s Book Services, Thomson ISI, ProQuest, Cengage/Gale, Economist Intelligence Unit, and others
- Gwen met with account representative from EBSCO
- Gwen met with Executive Director of Portico

New Journal Price Queries,Orders, and Cancellations
Christine responded to 25 pricing requests from liaison librarians, and sent the following to Acquisitions:
- 14 new journal and standing orders
- 4 orders for backfiles
- 2 upgrades to online access
- 3 cancellations
- 5 cessations (reported to Collections by Serials unit)
- Began using ERM records for new orders in addition to the old print Serials Order forms, in preparation for moving paperless for orders of electronic products in the coming months.
E-books
Don continued his e-book co-ordination activities, including troubleshooting access problems and establishing procedures with Acquisitions and Cataloguing as needed. Specific activities:
- Resolved access problems with ebrary, working with Nina Saklikar and Calvin Mah, and Academic Computing Services. Excellent to have this problem cleared up after much effort all around.
Scholarly Communication
Gwen organized and hosted a half-day symposium on Open Access publishing, featuring guest speakers Gavin Yamey (Public Library of Science), Anita Palepu (Open Medicine), and a panel of SFU faculty members. It was attended by about 45 faculty members, grad students, librarians, and independent scholars, and was well received by the group. Presentations from the event are available from the Collections Management page on the library web site, and the Scholarly Communication blog.
Other
Don: Congratulations to Don who was awarded the Robert H. Blackburn Distinguished Paper award from the Canadian Association of College and University Librarians! Don also attended an excellent NISO workshop on managing non-serial e-resources and presented a brown bag about the conference; did some preliminary work on SCAT table revisions in preparation for circulation analysis by subject areas; presented on a panel at the BC Library Conference titled “Managing e-serials – beyond CUFTS”; attended BC Library conference and also attended the vendor hall at Canadian Library Association Conference; attended a Centre for Online and Distance Education meeting to discuss the Library’s online resources and to push e-books and how all our resources can be used in online courses; spent a fair bit of time troubleshooting items for Distance Education, as they were having trouble linking to some library resources and also needed some information regarding the licenses of some of our image databases; provided Carole Goldsmith with the licensing language for the various digital slide vendors whose slides will be in ContentDM.
Christine : attended BCLA Conference for one day and presented on a panel “Managing e-serials - beyond CUFTS”; attended several Brown Bag talks—Ross Harvey from UBC SLAIS, Gwen, Anita & Scott on ICOLC and CRL, BCLA Conference, NISO Forum and Timberline; attended Special Collections reading by Anita Rau Badami; attended Western Canadian Innovative Users Group meeting at Langara College to hear about ERMS implementations; attended one-day Collections pre-conference to the Canadian Library Association conference with a “Collections 3.0” theme; attended Memory and Narrative talk & reading at Harbour Centre; continued work on various projects including preparing
Martha: attended Open Access Publishing symposium; sent formal introduction via email to FHS faculty members; started communication with FHS to add library links to their website; presented Library information to four FHS faculty members; met with FHS library representative; responded to queries about new Health journals, obtained pricing and discussed with library representative; attended ARLIS/NA Annual Conference in Denver and worked with both Public Policy and Diversity committees; attended a WebEx training session for OvidSP; attended Brown Bag Lunch on ICOLC and CRL; attended forum: "What's the frequency, Kenneth?" RFID and the future of humanism; attended one-day government and legal information workshop; attended BC Library conference, and Brown Bag lunch on the conference; attended BC RLG talk on Creative Commons Canada at UBC.
Hope: Collections welcomed Hope Power as she began working in the Collections Librarian half of Megan Crouch’s position as a leave replacement appointment. Hope participated in Instructional Skills Workshop (ISW) training at SFU Burnaby; attended BC Library Conference and was appointed ALPS Recording Secretary; worked with Nicole Gjertsen to adjust non-subject parameters and obtain cost estimates for subject heading changes to Blackwell’s Criminology profile for Surrey campus ; updated Coutts’ routing information for Interdisciplinary Studies profile; organized and attended ERM database training session at SFU Surrey with Nina Saklikar; attended ALPS event “Standing Out While Fitting In: Succeeding in Academic Library Culture” at UBC; a ttended LIDC brown bag on “ Wikipedia and the Post-Secondary Classroom”; attended Reference Division Learning Opportunity on “Copyright: Getting the Rights Right”.
Gwen: attended meeting of the International Coalition of Library Consortia on behalf of COPPUL and presented a Brown Bag report with Anita Cocchia; attended day-long workshop for Center for Research Libraries members; chaired a meeting of COPPUL Collections group members attending CLA conference; attended meeting of COPPUL LOCKSS task group with Mark Jordan; oriented Hope to Collections duties; attended and introduced one-day government and legal information workshop; posted Head of Access Services position and chaired selection committee; attended meetings of the planning committee for the IFLA satellite pre-conference in August.
All staff: participated in some part of Staff Development Day, and found it useful and enjoyable.
